Why is a photo ID required to activate the online payment system?

Who is this article for?

When you activate the online payment system, Colib asks for an image of the ID of a director or owner of your practice. This article explains why, which document to provide and what happens to it.

Why is an ID required?

The verification of ID is a necessary step for any Colib user who will receive payments.

  • To prevent fraud — it links each account that receives money to a legitimate person and ID.
  • To follow the "Know Your Customer" rules — these financial rules protect all the users of the platform: your clients, and you as our client.
  • A common practice — ID verification is standard in payment processing. Our payment provider also requires information about a director or owner of the organization.

We are committed to providing the safest and fairest experience for all our users.

Which document should I provide?

  • The ID of the director or owner of the practice, the same person whose name, date of birth and address you enter in the Practice Director part of the form.
  • A passport or an official ID only.
  • An image in jpg, jpeg or png format. Make sure the document is entirely visible and readable.

You add it in Settings > Payments (www.colib.io/settings?show=payment), in the Director ID area of the activation form: drag the image onto the area, or click it to choose the file. The full procedure is described in How do I activate the online payment system on Colib?

What happens next?

  1. Our team reviews your ID and the information you provided. Allow a couple of days: in the meantime, Settings > Payments shows the message For security reasons, we need to validate your information before you can use our online payment system.
  2. Once your information is verified, you receive an email confirming that your profile has been validated, and you can use the online payment system.

Your document is protected: it is stored securely and encrypted. It is only used to verify your identity.

Good to know

  • The payment provider may ask too — Stripe, our payment partner, may also ask for an ID or other information on its own secure page, during the activation or later. For more details, please see the article titled "Our payment provider is asking for missing information: what should I do?".
  • Practitioners paid directly — when a practitioner receives their share of online payments on their own bank account, the practitioner provides their own information, and our payment provider verifies it on its own secure page. See How to split online payments between a practitioner and the practice.
  • The fees — see What payment methods are accepted on Colib? What are the fees?
