Who is this article for?
You want your clients to pay you online by card with Colib, and you want to know which cards are accepted, how much it costs and when the money reaches your bank account.
This article explains the accepted payment methods, the fees of online payments, the payout delay and what to do with Interac e-Transfers.
In short: online card payments are processed by our payment partner, Stripe. Each successful payment costs the Stripe fees (2.9% + $0.30 CAD for a Canadian card) plus $0.25 CAD for Colib. There is no setup fee and no monthly fee for online payments.
Accepted payment methods
With the card payment system provided by Colib, your clients can pay with the major credit cards (Visa, Mastercard and American Express) and with debit cards.
They can pay:
- with the Pay button of the invoice emails and of the client portal;
- with a card saved in their client record, that you charge from Colib (see How to charge a client's saved credit card);
- when they book online, if you charge the appointment at booking (see How to charge clients automatically during online booking).
To turn on online payments, see How do I activate the online payment system on Colib?
The fees of online payments
Fees are charged only on successful payments. They are shown in Settings > Payments (www.colib.io/settings?show=payment) as Stripe fees + $0.25 CAD per payment.
| Fee | Amount per successful payment |
|---|---|
| Stripe fees (payment partner) | 2.9% of the amount + $0.30 CAD. The same rate applies to every card brand, American Express included. |
| Card issued in another country | +0.8% (for example, a card issued outside Canada for a payment in Canadian dollars). A US card used for a payment in US dollars is not concerned. |
| Currency other than CAD or USD | +0.9% for the currency conversion. |
| Colib fee | $0.25 CAD (converted when the payment is in another currency). |
Example: a client pays a $100.00 invoice with a Canadian card. The fees are $2.90 + $0.30 (Stripe) + $0.25 (Colib) = $3.45. You receive $96.55.
The fees are deducted from each payout: you never receive a separate invoice for them. To see them:
- Payout by payout — in the Payouts (Online payments) section of Settings > Payments. See Where can I view the payouts to my practice and the associated payment fees?
- Month by month — in the Processing fees report of the Reports section (www.colib.io/reports?show=fees), with an export to Excel or PDF for your accountant. For more details, see How to export a report of payment provider fees and payment taxes.
When do I receive the money?
The amount of each payment, minus the fees, is transferred to the bank account you entered when you activated online payments. Payments usually take 4 to 7 calendar days to process. You can follow each transfer and its status in Settings > Payments (www.colib.io/settings?show=payment).
What about Interac e-Transfers?
Interac e-Transfers are not processed by the card payment system: your clients send them directly to your bank account, and no Stripe or Colib fee applies to them. This is a good way to avoid card fees.
- Tell your clients how to pay you — give your Interac instructions in your forms, in your appointment reminders, or in the message added to your invoice emails (Settings > Invoices, www.colib.io/settings?show=invoices).
- Record them automatically — Colib can now read the Interac confirmation emails you receive and mark the matching invoices as paid. See How to set up Interac payment automation.
Good to know
- Refunds — when you refund an online payment, the fees of the initial payment are not given back: they stay at your expense. See How to refund a payment.
- Payments you record yourself — cash, cheques or Interac e-Transfers entered on an invoice have no processing fees.
- Other currencies — see How to define different currencies for appointments.
- Paying your practitioners directly — see How to split online payments between a practitioner and the practice.
- Stripe's own price list — the Stripe fees link in Settings > Payments opens Stripe's pricing page.
