How to Manage a Multi-Time Zone Practice?

Canada spans six time zones, which can make managing an online practice a bit challenging. At Colib, we understand these difficulties and have built solutions to make time zone management seamless for you.


1. Set Your Practice Time Zone

After creating your account, the first thing to do is confirm that your time zone is correctly set in your General Settings. This setting is automatically initialized during account creation and should remain unchanged once configured. This time zone will be the default setting used to display dates across the website, including the scheduler, online meetings, and more.

2. Time Zones in the Online Booking Process

When clients book appointments, they can select a time zone that suits them on the Date Selection screen.

  • For online appointments: The client’s current time zone is automatically pre-selected.
  • For in-person appointments: Your practice’s time zone will be pre-selected.

Additionally, appointment notifications (reminders and recalls) will display the date and time based on the time zone chosen by the client, ensuring clarity and reducing confusion.






3. Client Time Zones

Each client profile allows you to define a specific time zone for that individual. This setting is crucial for ensuring all notifications—such as reminders and recalls—are sent in the client’s preferred time zone.

  • Automatic Setup: When a client is created via the online booking process, their time zone is automatically populated.
  • Optional Customization: You can leave this field blank, in which case the practice’s default time zone will be used to format dates and times.

By leveraging Colib’s time zone tools, you’ll ensure smooth scheduling and clear communication with your clients, no matter where they are.
