How to Cancel an Appointment: For Practitioners and Clients

An appointment can be canceled by the practitioner or the client if they have the appropriate permissions.


1. Practitioner Cancellation

  1. Go to the scheduler and open the appointment you want to cancel.

  2. Select one of these two options from the status list:






Once confirmed, the appointment will be canceled, and notifications will be sent via SMS and email if the client has provided their contact information.


A few important considerations:

  • Late cancellations may trigger charges for the client. Please refer to this article for more details: How to charge no-shows and late cancellations.
  • Once deleted, the appointment will remain in the client's file and will be visible in the scheduler if you select the "Show canceled appointments?" option on the left side of the scheduler page.
  • You can also delete an appointment via the scheduler modal. However, this action will completely delete the record from the system, whereas canceling an appointment keeps the record on file.







2. Client Cancellation

Clients can cancel appointments themselves if you enable the following option in your settings (https://www.colib.io/settings?show=scheduler):

  • Set whether a client must provide a reason for canceling.
  • Define the minimum number of hours before an appointment during which cancellations are allowed.






Clients will find the cancellation link in their notifications (emails and SMS) and on the client portal.

When a client cancels an appointment, the practitioner assigned to it will be notified.
