How do I request payment information from my customer?

Who is this article for?

You want to keep your client's credit card on file, to charge their appointments later without asking them each time. Colib can email the client a secure link to enter their card themselves: you never see or type the card number.

Before you start: online payments must be enabled for your practice (How do I activate the online payment system on Colib?), and the client needs an email address in their record.

Demo

1Send the request from the client record

  1. Open the client record from your client list (www.colib.io/clients).
  2. Click the Billing tab, then the Payment Cards sub-tab.
  3. Click Request payment info.

  1. A confirmation window shows the secure link that will be sent. Click Continue.
  2. The message The client has been notified. confirms that the email is on its way.

2What your client receives

The client receives an email from your practice asking for their payment information, with a Continue button. The button opens a secure page, with your logo, where the client enters:

  • the card number,
  • the expiration month and year,
  • the CVV (3 or 4 digits on the back of the card),
  • the card holder name.

Secure page where the client enters their card details

The page tells the client that they will not be charged today and that a receipt will be sent by email for every payment made with this card. The card is saved securely by our payment provider, Stripe. The client does not need to log in to their client portal to use the link.

3Once the client has entered the card

  • The card appears in the Payment Cards sub-tab of the client record (date, last 4 digits, expiration date and status).
  • The client's main practitioner (if one is assigned to the client) receives a notification in Colib.
  • You can now charge the client: see How to charge a client's saved credit card.

Good to know

  • From an invoice: if you try to charge a client who has no active card, the invoice shows a warning with a Request payment information link that sends the same email.
  • Send the link yourself: the link shown in the confirmation window is personal to this client. You can also copy it and share it with the client another way.
  • Family and group billing: if the client belongs to a group whose billing notifications go to the person responsible, the email is sent to that person.
  • Card given over the phone: you can also add the card yourself with Add payment card. See Is it possible for me to manually enter my client’s credit card information?.
  • At booking: to collect the card when clients book online, see How to charge clients automatically during online booking.
  • Remove a card: click the trash icon on the row of the card.
