Colib offers true two-way synchronization with Google Calendar and Outlook:
- Your Colib appointments automatically appear in your personal calendar.
- Your personal events automatically block your availability in Colib, including on your online booking page, so
double bookings cannot happen.
- Changes flow both ways in near real time: edits, cancellations and recurring events included.
You can connect Google Calendar, Outlook, or both at the same time. Personal accounts (gmail.com, outlook.com) and professional accounts (Google Workspace, Microsoft 365) are all supported.
Connect your calendar
1. Go to https://www.colib.io/settings?show=calendarsynchro
2. In the Synchronization panel, click Sign in with Google or Sign in with Microsoft.
3. Choose the account whose calendar you want to sync and accept the requested permissions.
4. You are redirected back to Colib and the first synchronization starts. It runs in the background and usually takes a few minutes; you will receive a notification when it is complete.
During the first synchronization:
- All your upcoming Colib appointments are added to your calendar.
- Your upcoming personal events are imported into Colib as busy blocks.

Choose your preferences
In the Preferences panel of the same tab, four options apply to both Google and Outlook:
- One-way synchronization only – Your Colib appointments are still pushed to your calendar, but your personal events are no longer imported into Colib.
- Include full-day events in sync – Decide whether all-day events from your calendar should block your Colib schedule.
- Hide details of events coming from your external calendar – Imported events appear in Colib as a simple "Busy" block, with no title, location or description. Colleagues see that you are unavailable, nothing more.
- Include client initials in synchronized appointments – When enabled, the title of the calendar event starts with your clients' initials (for example "JD - Initial consultation"). Disable it to show the appointment type only.
You should always set up your preferences before connecting your calendar.

--- What is (and is not) shared:
Privacy is built in:
- Events pushed to your calendar contain the appointment type, the time, the room and optionally the client's initials
— never full names, contact details or clinical content.
- Events imported from your calendar are only visible in your own Colib schedule, and can be masked as "Busy".
- Colib uses the official Google and Microsoft secure connections (OAuth). Your calendar password is never seen or stored by Colib.

--- How the two-way sync behaves
- You book or move an appointment in Colib → it is created or updated in your calendar within seconds.
- You add a personal event in your calendar → a busy block appears in your Colib schedule and the time slot disappears from your online booking page.
- You delete a personal event (or a whole recurring series) → the corresponding busy blocks are removed from Colib.
- You cancel an appointment in Colib, or a client cancels from the portal → the event is removed from your calendar.

--- Disconnect your calendar
1. Go to Settings > Calendar Sync.
2. Click Revoke synchronization under the calendar you want to disconnect and confirm.
Colib then removes your Colib appointments from your personal calendar and removes the imported busy blocks from your Colib schedule. You can reconnect at any time.

--- Troubleshooting
- "Please wait for the end of the synchronization" stays displayed – The first sync can take several minutes if you have many events. If it lasts more than an hour, contact us.
- You received a notification saying your scheduler is no longer synchronized – This usually happens after a password change, account deactivation or revoked permissions. Go to Settings > Calendar Sync, click Revoke synchronization,
wait for completion, then reconnect your calendar.
- Sharing one calendar between two practitioners – We recommend one calendar per practitioner. If two Colib users connect the same calendar, each will see the other's appointments imported as busy blocks.
Important Considerations:
Only your primary Google or Outlook Calendar will be synchronized with your Colib scheduler.
