How to get notified when an appointment has no invoice attached ?

Colib can automatically alert your practitioners when a completed/active appointment still has no active invoice attached after a number of days you choose. This helps make sure no appointment is forgotten at billing time.

When you turn this option on, the practitioner assigned to the appointment receives an internal Colib notification
(the in‑app notification bell) — not an email — pointing directly to the appointment that needs an invoice.

What happens once the option is enabled


Every day, Colib automatically reviews your appointments in the background. For each appointment that meets all of these conditions, it sends one notification:

- the appointment is active (not cancelled/deleted);
- it has no active invoice attached;
- its date is at least the number of days you configured in the past (e.g. 7 days after the appointment).

The notification:
- is sent to the practitioner linked to the appointment;
- appears in that user's Colib notification center (the bell icon), as an internal notification;
- reads, for example: "No active invoice is attached to the appointment "Initial consultation" (Completed) scheduled on March 12, 2026.";
- is clickable: selecting it opens the appointment directly in the Scheduler, so the practitioner can create the missing invoice in one click.

▎ Good to know: the check runs automatically once the delay has passed — you don't need to do anything. If an invoice is later attached to the appointment, it simply stops being flagged.

How to enable it

1. Sign in to https://www.colib.io.
2. Go to Settings.
3. Open the Invoices settings tab.
4. Find the option "Notify the practitioner when an appointment has no active invoice attached." and toggle it on.
5. In the field "Number of days after the appointment before sending the notification", enter the delay you want (between 1 and 50 days). For example, enter 7 to be notified one week after the appointment if no invoice is attached.
6. Click Save.

That's it — from now on, the assigned practitioner will be notified automatically for any active appointment left without an active invoice after the delay you set.

Tips


- This works hand in hand with the other invoicing options in the same tab (such as automatically creating/sending an invoice when an appointment is marked as Completed). If you enable automatic invoicing, fewer appointments will ever reach the "no invoice" state.
