Who is this article for?
This article is for practice owners who received the email Upcoming Account Deletion Notice for Inactive Users. It explains why this notice is sent, how to keep your account, and what happens if you do nothing.
Why did you receive this notice?
To avoid keeping personal information that nobody uses anymore, Colib deletes practice accounts that have been abandoned. The notice is sent when all these conditions are met:
- the practice account was created more than 18 months ago;
- nobody in the practice (owner or team member) has signed in to Colib for 18 months;
- the practice has no paid monthly subscription and has not activated online payments.
The notice is sent to the person who created the practice account, with a copy to the practice's email address.
Important: if nobody in the practice signs in within 20 days of the notice, the practice account is deleted automatically, together with its data (clients, appointments, notes, forms, invoices, documents) and the accounts of its team members. This cannot be undone.
1Keep your account
- Click Sign in to keep my account in the email, or go to www.colib.io/login.
- Sign in with your usual email address and password. If you forgot your password, click Forgot your password? on the sign-in page.
- That's it: a single sign-in by any member of the practice cancels the deletion. You do not need to reply to the email.
To thank you for coming back, the notice also extends your free trial for 30 days (the end date is given in the email): you can explore the new features of Colib before choosing a plan. See How does payment for Colib plans work?.
2You no longer use Colib?
If you do not want to keep your account, you have nothing to do: it will be deleted at the end of the 20 days. Before that, think about your record-keeping obligations: your professional order or the law may require you to keep your clients' records for several years.
- Sign in to Colib (this cancels the deletion for now).
- Export what you must keep: see How to export my client data?.
- Then close your account yourself, or simply stop signing in.
Good to know
- Paying accounts are not concerned — a practice with a paid monthly subscription or online payments activated never receives this notice.
- Team members count — a sign-in by any member of the practice keeps the whole account active.
- Not sure the email is genuine? — open Colib by typing www.colib.io in your browser rather than clicking the link, or write to us.
